Office Manager
This Sterling leader serves as the organizational hub of our community center, ensuring smooth daily operations while creating a welcoming, responsive front office experience for all who walk through our doors. This role blends administrative leadership with front-line engagement and plays a critical part in shaping the overall experience of our families, staff, and community members.
The ideal candidate is highly organized, people-oriented, engaging, collaborative and energized by being at the center of a dynamic, mission-driven environment.
Reports To: Director of Operations
Work Location: Sterling Community Center, 2283 Main Street, Stratford, CT
Commitment: Full-time, exempt position with benefits eligibility. Standard 40/hours per week, scheduled between Tuesday and Saturday with evening hours on Thursday for programming and community groups.

Front Desk & Customer Responsibilities
Serve as the primary receptionist, representing SCC and engaging with the public in a warm, professional manner.
Deliver exceptional customer service across all communication channels, including in-person, phone, and electronic correspondence (including daily management of the administrative email).
Welcome and support families with questions related to programs, registration, and billing.
Manage front office procedures including registration, billing, payment processing, refunds, payment collections/ reconciliation and issue resolution.
Distribute “beepers” for food pantry patrons and support related logistics.
Maintain a clean, organized, and welcoming front desk, main office and lobby environment.
Ensure proper use of facility spaces and assist with end-of-day closing procedures, including securing the building.
Maintain strict confidentiality regarding all staff, families, and patron information.
Maintain shift coverages of the front desk when needed with additional volunteer or staff support.
Assign, train, schedule and supervise front desk volunteers.
Financial AdministrationCoordinate Care 4 Kids enrollment, communication, and processing for participating families.
Manage financial aid applications, including participant & budgetary tracking, communication, reporting and follow-up.
Support set-up and processing of all payments and payment plans for Sterling patrons.
Data & Systems Management
Utilize Daxko software to manage registrations, transactions, and maintain accurate patron data within the system.
Maintain up-to-date records across all systems and platforms.
Track in-kind donations and support organizational reporting efforts, including biannual participation and demographic reports.
Continuously evaluate and improve systems and processes to enhance efficiency.
Human Resources Support
Maintain accurate and up-to-date contact information on employees
Support recruitment and hiring efforts as requested.
Assist with onboarding and staff/volunteer record management, including compliance documentation and background checks.
Additional Responsibilities
Support Program Directors with program preparation, launches, and transitions across departments.
Secure the facility at the end of the shift, including arming the facility in the evening and weekends.
Assist with Spanish translation for marketing materials and customer engagement, as needed.
Represent SCC at community outreach events to promote programs and engagement.
Embody and promote the mission and values of SCC in all interactions.
Foster an inclusive environment and actively build cultural competence.
Support organization-wide initiatives and events.
Perform additional duties as assigned to support overall operations.
